Administrative Associate

Job Summary:

The Administrative Associate facilitates the efficient operation of the assigned department by performing a variety of administrative tasks and will interact with the company's customers by addressing inquiries and resolving complaints, generally providing a higher level of customer support on a specific product or service.

Duties/Responsibilities:

  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Processes and distributes mail.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Interacts with customers via telephone, email, online chat, or in person to provide support and information on an assigned product or service.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses.
  • Ensures that appropriate actions are taken to resolve customers' problems and concerns.
  • Maintains customer accounts with details of inquiries, complaints, or comments.
  • Uses knowledge of a specific product, service, or other assigned area of expertise to answer inquiries or to forward to the appropriate staff.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors, as needed.
  • Prepares agendas and schedules for meetings, as needed.
  • Records and distributes minutes or other records for meetings, as directed.
  • Performs other related duties as assigned.

REQUIRED SKILLS/ABILITIES:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent communication skills including active listening.
  • Service-oriented and able to resolve customer grievances.
  • Knowledge of, or ability to learn, product, service, or area of customer service specialization.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Proficient in Microsoft Office Suite or related software.
  • Proficient computer skills with the ability to learn new software.
  • Ability to work independently.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent.
  • Customer service experience required.
  • Associate's degree preferred

PHYSICAL REQUIREMENTS:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
